Recently experienced one of the ‘New Normal’ thing which I heard a lot of predictions about it. Here is for sharing from the actual action by the team.
The client: An industry representative. Come to the market twice every year. They are meeting various type of customers on behalf of the industry.
Latitude (as the service provider): Strategy consulting, providing in-market representation including accompanying with those market visits.
Couldn’t proceed one of the annual visits in May so prepared ‘virtual market visit to Korea’ from March. After some preparations, we had 12 meetings lined-up. 11 done in three days last week and 1 of them delayed to this week.
Only 3 of 12 meeting partners experienced the video conference call before. Not a surprise. Many Korean companies requested in-person meetings during the pandemic. Or just talk on the phone calls or even delay the meeting instead of setting the video conference call.
For 2 of 12, had to work as hybrid to make the meeting happen. One of team had to visit in person with the laptop. Because the customer don’t want to set it up by themeselves and the other because of their internal IT policy, they still need an assigned IP address to link externally etc.
The client prepared informative presentations not only by the Market Manager, who usually visit but also by other research people. Meeting more people in distance at once is a good hook to join the call.
Pre-recorded those presentations and overlay local language subtitle in advance. Save the time for interpretation at the actual meeting. People tend to be less patient in the call. Don’t need to repeat ten times of the same presentation. Easier & clearer understanding with text translations. Less risk to have connection problem from the other part of the world. (Actually, it still happened in national connection.)
Beginner level of the intuitive manual (IT etc.) for customers to understand the process of the online meeting, made a brief website for it. Used Google Hangout so need a just modern web browser rather installing any separate app likes of Zoom. Made look easy for customers as much as possible while still professionally prepared.
The client has already decided to do the virtual visit again, no matter the travel situation back to normal or not.
My key take-away is ‘prepared, professionally moderated’ meeting is critical to influencing parties’ confidence about the relationship.
